Cancellations

Registered conference participants who cannot attend the conference will receive a refund of the registration fee as follows:

  • Receipt of cancellation by 15 April 2010: Refund of 100 % of  the registration fee minus an administrative fee of EUR 50,00.
  • Receipt of cancellation by 30 April 2010: Refund of 50 % of the registration fee.
  • Receipt of cancellation after 30 April 2010: No refund.

For organisational reasons, refunds can only be granted up to 30 April 2010. Thereafter, reimbursements are possible only after the conference. Any bank charges shall be covered by the participants.

Hotel Reservation (Deadline 03 May 2010)

Hotel rooms can only be reserved upon receipt of a deposit (room rate for the 1st night) or a credit card number. All requests for hotel reservations and all deposits must be received by INTERPLAN not later than 03 May 2010. If the desired hotel is fully booked, INTERPLAN reserves the right to arrange accommodation in a different hotel. For reservations with credit card details received later than the mentioned date above, all necessary efforts to procure a hotel room for you will be done. Please be aware that a guarantee for your hotel preference and/or the rates indicated cannot be given by INTERPLAN. Upon receipt of the deposit, INTERPLAN will inform the hotel about the deposit paid. The deposit will be deducted from the hotel bill. Any further hotel expenses are to be paid directly at the hotel by the guests themselves.
If a guest has guaranteed his booking with credit card, INTERPLAN is authorised to forward the data to the hotel as a guarantee. A deposit will not be charged – all cost has to be paid directly in the hotel.

Cancellation of Hotel Reservations

Changes in reservations and cancellations must be reported in writing to INTERPLAN and NOT to the hotel. Upon receipt of the reservation confirmation, the guest automatically becomes the legally binding contract partner of the hotel. INTERPLAN acts exclusively as an agent for hotel reservations. If the guest cancels a reservation prior to 03 May 2010 (Exception: Grand Elysée - prior to 17 March 2010; Mercure an der Messe – prior to 14 April 2010) a cancellation fee of EUR 20,00 (incl. 19% VAT) per room reservation will be charged; any bank charges that may arise as a result of such a cancellation will be covered by the guest him-/herself. If a pre-payment has already been made, the amount paid will be refunded, reduced by an administrative fee of EUR 20,00. After 03 May 2010 (Exception: Grand Elysée - prior to 17 March 2010; Mercure an der Messe – prior to 14 April 2010), INTERPLAN and the hotel certainly try to resell cancelled rooms but if this is not possible the cancellation fee of the hotel (up to 90 % of the room rate) will be charged to you/your company in addition to the cancellation fee of INTERPLAN (EUR 20,00), either the paid deposit will not be paid back or the given credit card may be charged directly by the hotel. Please also be aware that in case of a later arrival or an earlier departure (i.e. lost room nights) some hotels will charge for the total number of nights booked, if the nights cannot be resold.

Liability

INTERPLAN AG acts as an agent for each supplier and can therefore not be held responsible for any deficiency in services provided by the suppliers. Exceptions are possible deficiencies in procurement occurring from deliberate or from gross careless acts which will make INTERPLAN AG liable restricted to each single case. The coverage is based on the original value of the services booked according to our published offer.

Data Protection

Our company handles all personal data according to the laws of § 4 under the Federal Data Protection Act.
For your registration to the above mentioned congress the collecting, saving and processing of your personal data is imperative. This is done solely as a means to the organisation and completion of the event.
Your data will only be passed onto a third party, who is directly involved with the running of the Congress and when the organisational procedure makes this necessary (operator, hotel).
The legislator requires us to obtain your consent. The registration to this congress is not possible if we do not get this.
I hereby declare my consent that all the information made by me to my person within the handling of the above mentioned congress is filed, saved, processed and the demands made above can correspondingly be passed onto a third party.
